Job Purpose:

As an Administrator at GVZH, your role will be to support the needs of the team assigned to you. You will need to be efficient and effective as well as being able to work on your own initiative and within a team. In this role, you will learn different tasks to support different lawyers in their different practice areas, such as, aviation and shipping, regulatory, banking and finance, amongst others.

Job duties and responsibilities:

  • Greeting visitors, offering refreshments and dealing with incoming calls
  • Handling of incoming / outgoing mail including courier services and registered mail
  • Signing in and out visitors
  • Meeting rooms and boardroom bookings
  • Assist with travel logistics including booking of flights, accommodation and taxis and keep records and reports updated
  • Scheduling and coordinating internal and external meetings
  • Handling administration tasks assigned to you
  • Working hand in hand with other team members
  • Managing and handling invoices of various teams
  • Any additional ad-hoc duties as assigned by management

Requirements

  • Previous experience in a similar role within a corporate environment
  • Have an excellent command of written and spoken English with great telephone manner
  • Proficiency in Microsoft Office products
  • Great attention to detail, highly organised, proactive individual who is capable of working on their own initiative whilst being a dedicated team player
  • Attention to detail
  • Academic qualification is considered an asset.

Qualifications and Experience

  • 2 years experience in a similar role
  • A Level standard
  • EU national
  • Fluency in both written and spoken Maltese and English languages
